The weather is unpredictable. Here at ESI, we’ve seen it all. Record breaking heat, rain, snow, wind, and everything in between. Just because the forecast for gameday says one thing, doesn’t mean that something else totally different can’t happen. Outdoor events are especially susceptible to rain. Rain plans are essential to ensuring that if rain hits, chaos doesn’t ensue and everyone stays safe.

In creating rain plans, consider the ground within the event site:
-
Will it be muddy or slippery if it rains?
-
Are there parts of the site that could flood and become inaccessible?
Make sure you have a plan for all potential scenarios.

Before you can execute rain plans, you need some metric for what will trigger them:
-
At what point do you call for a delay or a postponement?
-
When do you tell the audience to evacuate?
-
At what point do you cancel the event because of the weather?
-
If the decision is made to evacuate, how are you going to communicate that with the audience? An announcement? A graphic?

In addition to taking care of guests at an event, production teams also have to care about their equipment. Ensure that the production team has a plan for securing or weatherproofing every piece of equipment from speaker to screens and everything in between.

Preparing for the weather is an essential step to ensuring a successful event.
